Privacy notice

What we collect about you, why, and what you can ask us to do with it.

Last updated 19 October 2026.

Who we are

ProjectChange is a Scottish charity (SC050599), regulated by OSCR. We decide how the information described here is used, which makes us the data controller. If you have a question about your information, email hello@projectchange.scot.

What we collect and why

We only collect what we need for the thing you’ve asked us to do.

When you email us

We keep your name, email address and what you tell us so we can reply. We do this because it’s in both our interests to answer you (the law calls this legitimate interests).

When you join our mailing list

We keep your email address, and your name if you give it, so we can send you updates now and then. We only do this with your consent. Every email has an unsubscribe link, and leaving takes one click. Our mailing list is run by MailerLite.

When you book a course

Bookings are handled by Zeffy. We receive your name, email address and booking details so we can run the session and keep you updated about it. We need this to provide what you booked.

When you fill in one of our forms or surveys

Some projects use online forms run by Jotform. Each form says what it’s for and what we’ll do with your answers. We only use your answers for that purpose.

When you visit this website

If you say yes in the cookie banner, Google Analytics records how the site is used: which pages are visited, roughly where from, and on what kind of device. We use this to see which pages help people and which don’t. We don’t use it to work out who you are. You can change your choice at any time through the cookie settings.

If you tell us about your care experience

Some people share personal things with us, including their experience of care. We treat this with extra care. We only use it for the reason you shared it, and we never publish it, or anything that could identify you, without your clear agreement.

Who we share it with

Only the services named on this page, which store or process information for us and aren’t allowed to use it for anything else. Some of them store data outside the UK. When they do, they use the safeguards UK law requires. We never sell your information.

We would only pass information to anyone else if the law requires it, or if we believed someone was at risk of serious harm.

How long we keep it

Mailing list details stay until you unsubscribe. Everything else we keep only as long as we need it for the reason we collected it, or as long as the law says we must (for example, financial records).

Your rights

You can ask us for a copy of the information we hold about you, ask us to correct it or delete it, ask us to stop using it, or withdraw your consent. Email hello@projectchange.scot. It’s free.

If you’re not happy with how we’ve handled your information, please tell us first. You also have the right to complain to the Information Commissioner’s Office (ICO), which regulates data protection in the UK.
